Mid-America Golf & Landscape · Multi-State Contractor · Asset Management
One source of truth.
How Mid-America Golf & Landscape gained control of its owned and rented fleet — and recovered $40,000 in rental credits — with YARDZ.
Mid-America Golf and Landscape — a multi-state contractor specializing in synthetic turf, natural grass athletic fields, irrigation, and golf course construction — manages a substantial fleet of owned and rented equipment. Yet despite the scale of operations, asset tracking was fragmented.
Owned equipment lived on spreadsheets. Inspections were managed elsewhere. The equipment manager logged into multiple systems daily, called rental vendors, and chased supervisors for updates. Even with telematics on the trucks, the data wasn’t connected to equipment billing or jobsite-level tracking.
No consolidated dashboard. No single source of truth.
When Jim Van Dyke joined Mid-America as CFO, one of his first priorities was clear: improve financial visibility and operational efficiency. There was no consolidated dashboard to view everything in one place.
The result was partial visibility at best. Equipment might sit idle while still being invoiced. Call-offs didn’t always align with billing cycles, and maintenance schedules required manual oversight — creating both inefficiency and financial risk.

“We had an idea of which job our equipment was on, but we didn’t know with 100% certainty. And we definitely didn’t have a single source of truth.” Jim Van Dyke — Chief Financial Officer, Mid-America
Leadership realized they didn’t simply need rental aggregation — they needed comprehensive management of all their assets, owned and rented, under one system. Van Dyke first encountered YARDZ through the Construction Financial Management Association (CFMA) message board while the operations team was already evaluating tracking solutions.
Other tools were incomplete for one reason or another. What stood out about YARDZ was its ability to unify rented and owned assets and aggregate all rentals in one place — while also incorporating inspections, maintenance workflows, logistics tracking, and inventory management. When Mid-America asked about custom features like logistics quoting, the YARDZ team presented solutions, not limitations.
From a tracking tool to a centralized operational platform.
“Our mechanic loves it. It’s helped him keep track of when maintenance is done, and it leaves an easy-to-follow trail.”

Both owned and rented equipment managed under a single system, with all rentals aggregated in one location.

Recovered $40,000 in rental credits.
About six weeks after implementation, spot-checks on rental invoices using YARDZ data surfaced $30,000 in vendor credits — and another $10,000 soon after. One called-off machine sat idle for three months while billing continued; telematics in YARDZ proved it never moved.
Beyond recovery — capacity.
Leadership estimates the equipment manager gained roughly 25% more productive capacity — working in a single dashboard instead of toggling between vendor systems and making repeated calls.
Superintendents now log information directly through the app, project managers receive daily equipment reports to question anomalies immediately, and mechanics keep inspections, maintenance records, and work-order templates in one accountable place.
“That alone justified the system.”
Jim Van Dyke, Chief Financial Officer — on the idle machine YARDZ helped prove“There are always a few people who resist new systems. But overall, it went as smoothly as we could have hoped.”
Charles Christian, Director of Synthetic Turf OperationsA remote rollout, with YARDZ doing the heavy lifting.
Mid-America began implementation in May 2025. The rollout was largely remote, minimizing disruption — and unlike many providers, YARDZ assisted with much of the initial data entry after receiving the equipment lists, reducing internal workload during deployment.
Remote implementation
YARDZ handled much of the initial data entry from Mid-America’s equipment lists, keeping disruption to a minimum.
Live training & the PWA
A live session during a management meeting familiarized superintendents with the workflows; the Progressive Web App gave field users an app-like experience.
Embedded across departments
Equipment manager, mechanics, superintendents, project managers, drivers, and finance leadership all working in one platform.
Warehouse & small tools
Expanding into the Warehouse module, not-to-exceed rates, and tighter small-tool and container controls.
“That alone justified the system.”
